-greet/receive visitors
-respond to email and phone inquires from internal/external constituents
-coordinate, with discretion and confidentially, flow of incoming/outgoing communications and determine the appropriate office/department/agency for outgoing communications
-prepare correspondence; proofread/polish documents for distribution
-coordinate calendars of appointments/meetings using Microsoft Office and other tools
-manage meeting logistics, including prep of agendas/programs, arranging A/V and support equipment
-maintain budget records, reconciling and verifying vouchers/receipts, producing financial reports and summaries and preparing budget transfers
-perform records management by overseeing filing system, creating paper and digital files and records using judgment and knowledge of office requirements, updating files and records, retrieving files and documents
-create web pages, flyers and forms
-update systems and databases for departmental use
-order office supplies
-transcribe meeting minutes
Proficiency in Microsoft Office (Word, Excel, Power Point) [Windows 10] as well as One Drive and Sharepoint
Excellent communication and organization skills
Ability to organize/prioritize projects
Detail oriented; dependable
High degree of discretion, good judgment and ability to interact in a professional and customer-friendly manner.
Be able to respond to customers with tact and diplomacy, maintain confidentiality, and respond to public inquiries from students, staff, faculty and parents.
Experience working with diverse constituencies including knowledge of equity, inclusion and accessibility.
Ability to work independently, solve unexpected problems and make substantive decisions quickly.
Experience with Student Information systems required; Banner preferred

Associates degree required. Five (5) years increasing responsibility in a secretarial/administrative capacity required to include extensive knowledge of current office practices and procedures. Experience in collaborating with many different individuals at all levels of an organization.
